Following is the protocol for sending packages via the Polaris shuttle. Please note that beginning December 6, 2010, packages sent from Polaris to campus must include a completed Polaris-to-Campus delivery form. Although one form may be used for multiple packages, if there are multiple packages the total number of packages needs to be indicated on the form.
Sending packages from campus
All packages to Polaris must have a label with the recipient’s name and telephone number. Anyone sending to Polaris must meet the shuttle at the designated parking space by the James Cancer Hospital between the arrival and departure times according to the schedule. All packages should be placed in the rear cargo compartment of the van.
NOTE: There will be a white bin in the rear of the van intended for campus mail only. Do not place any packages or envelopes in this bin as it will be mixed in with campus mail.
Sending packages from Polaris
Lab personnel are responsible for contacting the recipient on campus. This means that the sender must confirm pick-up arrangements with the recipient before the package is placed in the responsibility of the driver. Without receiving this confirmation, the package cannot go on the shuttle for delivery.
After the appropriate arrangements have been made, package(s) should be placed in the designated area in the back lobby’s reception area. All packages must be properly labeled and include the Polaris-To-Campus form. Fill out the form to include the recipient’s name, department and phone number as well as the shuttle departure time the package is to be sent. If there is more than one package, this must be clearly indicated on the form. Packages will not be placed on the shuttle without a completed form.
NOTE: Packages intended for Tissue Procurement Services/Gross Room will be delivered by the driver. All other recipients are required to meet the shuttle at the designated parking area next to the James Cancer Hospital from the time of arrival to the time of departure.
